Where your data lives, and who can see it.
You’ll keep tenants’ names, bank details and photos of their homes in here. This page says where that’s stored, who can reach it and how to get it out.

Where is my data kept?
In a Supabase database in London, with your photos and documents in private storage alongside it. Files open through links that stop working after a minute, so a link copied out of the app is no use to anybody later.
Bank and HMRC connection details, and National Insurance numbers, are encrypted before they’re saved.
Who can see it?
You, and the people you invite. Each person on your team gets a role: a manager runs the properties, someone doing repairs sees repairs, and your accountant can be given view-only access to see the money and the books and change nothing.
If you’re a letting agent, the owners you manage for can sign in to see their own statements, repairs and tax. A tenant sees their own tenancy and nothing else. Nobody outside your account sees anything in it.
These checks happen on our servers every time anybody asks for data, so hiding a button is never the only thing in the way. Changes that move money or alter a tenancy are recorded with who made them and when.
How do I sign in?
With a link we email you. It works once and lasts five minutes. You can add a passkey too, so your phone or laptop signs you in with your face or fingerprint.
There are no passwords, for you, your team or your tenants, so there’s no password to be guessed, reused or leaked.
Can I take my data with me?
Yes. From Books you can download your trial balance, every entry in your books, your SA105 figures box by box, and files ready to import into Xero or QuickBooks.
If you close your account, ask and we’ll delete it, apart from anything the law says we must keep for tax. We’ll tell you what that is.
What if a tenant asks for their data?
From the tenant’s record you can download everything you hold about them. You can also erase their name, contact details and documents while keeping the payments, so your books still add up.
Latchkey tells you when erasing has to wait: while the tenancy runs, while money is owed or a deposit is held, and for six years after the tax year of their last payment, because HMRC expects you to keep those records.
How do I report a security problem?
Email hello@latchkey.co.uk with “Security” in the subject. Say what you found and how to see it. A person reads it and replies, and we’ll tell you when it’s fixed.
See it with your own units.
