Questions

Questions landlords ask, with straight answers.

24 answers in 5 groups. Where the answer is no, we say no.

Before you start

Is it really free for 14 days?

Yes. You get every feature for 14 days and we don’t ask for a card. When the trial ends, choose a plan in Settings to carry on. If you don’t, nothing is charged.

Who is it for?

Landlords who manage their own lets in England and Wales, usually between 1 and 25 units, without a letting agent. Letting agents can use it too, and there’s a page for them.

How do I get set up?

A guided setup walks you through it: your details and first building, then its units and a tenancy, then inviting your tenant. Connecting your bank and adding a team can wait.

Can I bring my spreadsheet?

Yes. Settings has an import for a CSV file from wherever your lets are kept now. You see every row before anything is added.

Does it work in Scotland or Northern Ireland?

No. The rules in Latchkey are the rules for England and Wales. Scottish and Northern Irish tenancies work differently, so we don’t sell it there.

Money and tax

Do I need an accountant?

Not to use Latchkey. It records your rent and costs as they happen and works out the SA105 figures for your Self Assessment. If you have an accountant, give them their own sign-in, or send them the trial balance.

Does it do Making Tax Digital?

Yes. Making Tax Digital for Income Tax applies from 6 April 2026 if your qualifying income from property and self-employment is over £50,000, and from 6 April 2027 if it’s over £30,000. Latchkey keeps the digital records and works out the figures for your quarterly updates. Sending them to HMRC from Latchkey is coming soon.

Does it do my Self Assessment?

It works out your SA105 figures, the property pages of your return, with mortgage interest shown separately for the tax credit. You or your accountant put them in your return.

How does rent reach me?

Today, rent reaches you however your tenants pay now, and Latchkey keeps track of it. Upload your bank statements and it matches the payments to each tenancy. Soon: collect rent by Direct Debit, Pay by Bank or card through your own Stripe account, so it goes straight to you.

Does it handle VAT?

Yes, if you’re VAT registered. Returns are worked out from your records and kept as filed.

Tenancies and the law

What about the Renters’ Rights Act?

From 1 May 2026, tenancies are assured periodic, Section 21 is gone, rent rises are served on Form 4A with two months’ notice, and a tenant gives two months to leave. Latchkey sets tenancies up that way and works out the notice dates.

Will it stop me serving a Section 8 I can’t serve?

It lists everything in the way at once: the ground, the notice period, the arrears, the deposit and any licence. You can fix them all before you serve, rather than finding out one at a time.

Can I charge a late fee?

Within the legal cap. Nothing is chargeable in the first 14 days, and interest stops at 3% above the Bank of England base rate. Latchkey works charges out inside that cap.

Does it do houses let by the room?

Yes. Each room is its own unit with its own tenancy, under one building that carries the licence and the safety certificates.

Does it make sure I’m compliant?

Latchkey tracks every deadline and piece of paperwork the rules set, tells you what’s due before it’s due, and won’t let you charge more late interest than the law allows. Acting on it is up to you, and for advice on a particular case, speak to a solicitor.

Your tenants

Can my tenants use it on their phone?

Yes. The tenant app works in the phone’s browser, so there’s nothing to install. They can see what they owe and what they’ve paid, report repairs with photos and follow them to done.

How do tenants get in?

You copy their invite link or email it to them. They sign in with a link sent to their email, so there’s no password to forget.

Do tenants pay to use it?

No. The tenant app comes with every tenancy on every plan.

What does a tenant see?

Their own tenancy and nothing else: what they owe, payments and receipts, repairs, documents and the deposit.

Your data and your account

Is my data safe?

It’s stored in the UK. Each landlord’s records are kept apart from everyone else’s, and who can see what is checked on the server every time. You sign in with a link sent by email or a passkey, so there’s no password to steal. More on security.

Can my accountant or my team have access?

Yes. Invite them from Settings and choose what they can do. An accountant can have view-only access: they see everything and change nothing.

What if I have 30 units?

The Agency plan covers up to 150 units for £79 a month, with the same features as the smaller plans. See pricing.

Can I cancel?

Yes, from Settings, whenever you like. There’s no contract, and your plan runs to the end of the period you paid for.

Can I take my figures with me?

Yes. Download your trial balance and SA105 figures as CSV whenever you like. Syncing with Xero or QuickBooks is coming soon.

Not here? Email hello@latchkey.co.uk and someone who works on Latchkey will answer.
